Welcome to Umrahbookings. Before you book with us, please take a few minutes to read through these Terms and Conditions. We have written them as clearly as we can, no unnecessary legal complexity, just honest, straightforward information about how we work and what you can expect from us.
By using our website or making a booking with Umrahbookings, you agree to these terms. If anything here is unclear or you have questions, please reach out to us through the enquiry form before booking. We are always happy to explain.
1. About Umrahbookings
Umrahbookings is part of the Aqdas Travel group, a UK based Umrah travel service specialising in all inclusive pilgrimage packages for British Muslims. We arrange flights, accommodation, ground transportation, visa processing, and guided services for individuals, couples, families, and groups travelling from the United Kingdom to the Kingdom of Saudi Arabia.
Our website is Umrahbookings.com. All bookings, enquiries, and communications are handled through this website and our official contact channels.
2. ATOL Protection
2.1 Umrahbookings operates as part of the Aqdas Travel group, which holds ATOL protection for flight inclusive packages. This means your payments are financially protected in the event that we or our suppliers are unable to provide your booked flights due to insolvency.
2.2 When you book a flight inclusive package with us, you will receive an ATOL Certificate confirming your protection. Please check this certificate carefully and keep it safe.
2.3 Not all packages include flights. If you book accommodation, visa, or ground services only, ATOL protection may not apply to that specific booking. We will always confirm what protection applies at the time of your quote.
3. Bookings and Confirmation
3.1 A booking is confirmed only after we have received your deposit payment and sent you a written confirmation by email. An enquiry form submission or verbal agreement does not constitute a confirmed booking.
3.2 Once your booking is confirmed, you will receive a written itinerary detailing your package, including departure dates, flight information once ticketed, hotel names, and any included services.
3.3 It is your responsibility to review your confirmation carefully and notify us of any errors within 48 hours of receipt. We cannot be held responsible for errors that are not flagged within this window.
3.4 Package availability is not guaranteed until a deposit is received. We operate on a first come, first served basis, and prices or availability may change before a booking is finalised.
4. Pricing and Payments
4.1 All prices quoted are in pounds sterling (GBP) unless otherwise stated.
4.2 Prices are based on the costs of flights, hotels, ground services, and visa fees at the time of quotation. While we make every effort to honour quoted prices, we reserve the right to adjust pricing in the event of significant changes in airline fares, hotel rates, or government imposed fees, including Saudi visa fees.
4.3 A non refundable deposit is required at the time of booking. The deposit amount will be communicated to you at the time of your quote. The remaining balance is due no later than 60 days before your departure date, unless otherwise agreed in writing.
4.4 Bookings made within 60 days of departure may require full payment at the time of booking.
4.5 Failure to pay the remaining balance by the due date may result in cancellation of your booking. In such cases, the deposit will not be refunded.
5. Cancellations and Refunds
We understand that circumstances change, and sometimes plans need to be adjusted. Our cancellation policy is as follows.
5.1 Cancellations made 60 or more days before departure. You will receive a refund of all payments made, minus the non refundable deposit and any third party fees already incurred, such as visa application fees or hotel pre payments.
5.2 Cancellations made 30 to 59 days before departure. 50% of the total package price will be refunded, minus any non recoverable costs already incurred.
5.3 Cancellations made fewer than 30 days before departure. No refund will be issued. We strongly recommend purchasing comprehensive travel insurance to protect yourself in the event of last minute cancellations.
5.4 Visa application fees are non refundable once submitted, regardless of the cancellation date.
5.5 Refunds will be processed within 14 business days of receiving a written cancellation request.
5.6 To cancel a booking, please contact us in writing through the enquiry form. Cancellations are only accepted in writing.
6. Changes to Your Booking
6.1 If you need to make changes to your booking, such as changing a travel date, adding or removing travellers, or upgrading your accommodation, please contact us as soon as possible.
6.2 Changes are subject to availability and may incur additional charges, including airline change fees, hotel rate differences, and an administration fee of up to £60 per booking.
6.3 Name changes on airline tickets may not be permitted depending on the airline’s policy. In some cases, a name change may require cancelling and rebooking the ticket at the current fare, which could be significantly higher than the original price.
7. Visa Processing
7.1 Umrahbookings will assist with your Saudi Umrah e visa application as part of your all inclusive package. However, visa approval is ultimately at the discretion of the Saudi visa authorities. We cannot guarantee visa approval in every case.
7.2 It is your responsibility to provide accurate and complete documentation as requested. Any delays or rejections resulting from incorrect, incomplete, or fraudulent documentation are your responsibility and do not entitle you to a refund.
7.3 Visa fees paid to Saudi authorities are non refundable in the event of rejection.
7.4 Women travelling without a mahram, a male guardian, must comply with Saudi regulations for female pilgrims. Requirements may change, and it is your responsibility to confirm current regulations at the time of travel.
8. Travel Documents and Passport Validity
8.1 You are responsible for ensuring that your passport is valid for at least six months beyond your return date and has sufficient blank pages for visa stamps.
8.2 You are responsible for carrying all required travel documents, including your passport, visa, and booking confirmations, during your journey.
8.3 Umrahbookings is not responsible for any costs, losses, or disruptions resulting from invalid, expired, or missing travel documents.
9. Travel Insurance
9.1 We strongly recommend that all travellers purchase comprehensive travel insurance before departure. This should include cover for:
Trip cancellation and interruption
Medical emergencies
Emergency evacuation
Lost or delayed baggage
Flight delays and missed connections
9.2 Umrahbookings does not provide travel insurance. We are not liable for any losses that would have been covered by adequate travel insurance.
10. Our Responsibilities
10.1 Umrahbookings acts as an intermediary, arranging travel services on your behalf through airlines, hotels, and ground transportation providers. While we work with reputable suppliers, we are not the direct provider of flights, accommodation, or transport.
10.2 We are not liable for service failures, cancellations, or changes made by third party suppliers, including airlines, hotels, or the Saudi visa authority.
10.3 We are not responsible for any losses, injuries, or disruptions caused by circumstances beyond our control, including but not limited to natural disasters, political unrest, acts of terrorism, pandemic related restrictions, government travel advisories, or extreme weather events.
10.4 In the event of a service failure caused directly by Umrahbookings’s negligence, our liability is limited to the value of the affected service within your package, in line with the Package Travel and Linked Travel Arrangements Regulations 2018 where applicable.
11. Your Responsibilities
11.1 You are responsible for arriving at the airport on time and following all airline and immigration procedures.
11.2 You are responsible for behaving respectfully during your pilgrimage and in accordance with the laws and customs of the Kingdom of Saudi Arabia.
11.3 Any costs arising from your own conduct, including fines, medical treatment, or additional accommodation due to voluntary deviation from the itinerary, are your responsibility.
11.4 You are responsible for informing us of any medical conditions, dietary requirements, or accessibility needs before your booking is confirmed, so we can do our best to accommodate you.
12. Health and Medical Requirements
12.1 Saudi Arabia may require proof of certain vaccinations for Umrah travellers, including meningitis vaccination. Requirements can change, and it is your responsibility to confirm current health requirements with the Saudi embassy or consulate and your healthcare provider before travel.
12.2 Umrahbookings is not responsible for any medical complications arising during travel. We strongly encourage all travellers to consult their doctor before undertaking the physical demands of Umrah, particularly elderly pilgrims or those with existing health conditions.
13. Complaints and Disputes
13.1 If something goes wrong during your trip, please inform our team as soon as possible so we can attempt to resolve the issue in real time. Many issues can be addressed quickly when reported promptly.
13.2 If you wish to make a formal complaint after your return, please submit it in writing within 28 days of your return date. We will acknowledge your complaint within 5 business days and aim to resolve it within 28 days.
13.3 These Terms and Conditions are governed by the laws of England and Wales. Any disputes that cannot be resolved between us will be referred to mediation before any legal action is considered.
14. Website Use
14.1 The content on Umrahbookings.com, including text, images, pricing, and package descriptions, is for informational purposes. While we work hard to keep it accurate and up to date, we cannot guarantee that all information is error free at all times.
14.2 Prices shown on the website are indicative. Final pricing is confirmed at the time of your personal quote.
14.3 You may not copy, reproduce, or distribute any content from this website without our written permission.
15. Changes to These Terms
We may update these Terms and Conditions from time to time. The most current version will always be available on this page, with the “Last Updated” date reflecting the most recent revision. Your continued use of our services after any changes constitutes acceptance of the updated terms.
