Refund Policy

We know that booking an Umrah trip is a significant commitment, financially, emotionally, and spiritually. Life is unpredictable, and sometimes plans change despite the best intentions. This Refund Policy is designed to be as fair and transparent as possible, so you always know exactly where you stand.

Please read this carefully before making a booking. If you have any questions, contact us through the enquiry form before you pay. We would rather answer your questions upfront than deal with confusion later.

The Short Version

60 or more days before departure: full refund minus deposit and non recoverable costs.
30 to 59 days before departure: 50% refund minus non recoverable costs.
Under 30 days before departure: no refund.
Visa fees: non refundable once submitted.
Deposits: non refundable in all cases.

1. Non Refundable Deposit

When you confirm your booking, a deposit is required to secure your place. This deposit is non refundable under any circumstances, including if you choose to cancel, change your mind, or are unable to travel due to personal reasons.

The deposit covers the administrative work we carry out immediately after booking, including visa preparation, seat holds, hotel reservations, and flight availability checks. This work begins the moment your booking is confirmed.

The deposit amount will be clearly communicated to you at the time of your quote.

2. Cancellations: Standard Refund Timeline

Cancellation 60 or More Days Before Departure

If you cancel your booking 60 or more days before your scheduled departure date, you are entitled to a refund of all payments made, minus:

The non refundable deposit.
Any third party costs already incurred and non recoverable, such as hotel pre payments, airline booking fees, or visa application charges.

We will provide you with a clear breakdown of any deductions before processing your refund.

Cancellation 30 to 59 Days Before Departure

If you cancel between 30 and 59 days before departure, 50% of the total package value will be refunded, minus any non recoverable third party costs already incurred.

At this stage, many of the components of your trip will already have been booked and paid for. Airlines and hotels apply their own cancellation policies, which often reduce or eliminate our ability to recover costs on your behalf.

Cancellation Fewer Than 30 Days Before Departure

If you cancel within 30 days of your departure date, no refund will be issued. By this point, your flights are typically ticketed, your hotel rooms are confirmed, and your visa has been submitted. The majority of these costs are non recoverable.

We understand this is difficult, and we are genuinely sorry when circumstances force someone to cancel at the last minute. This is exactly why we strongly recommend purchasing comprehensive travel insurance that includes trip cancellation cover. It is the best protection you can have for situations outside your control.

3. Visa Application Fees

Saudi Umrah e visa fees are paid directly to the Saudi visa authority on your behalf. Once your application has been submitted, these fees are completely non refundable, regardless of:

Whether your visa is approved or rejected.
Whether you cancel your booking before or after submission.
Whether you travel or not.

This is not a policy we control. It is a requirement of the Saudi government. We submit visa applications promptly after receiving all required documentation, so please ensure you are committed to travelling before providing your passport details.

4. Flights: Airline Cancellation Policies

Flights are ticketed through airline partners, each of which has its own cancellation and refund rules. In most cases:

Economy class tickets are non refundable or carry significant cancellation penalties.
Business class tickets may offer more flexibility, depending on the fare type.
Date change fees vary by airline and are typically charged per passenger.

When you cancel your package, we will attempt to recover as much of the flight cost as possible under the airline’s policy. Any airline issued credits or refunds will be passed on to you, minus any applicable airline fees and our processing fee.

5. Hotel and Ground Services

Hotels booked as part of your package are subject to the individual hotel’s cancellation policy. Many Makkah and Madinah hotels, particularly those near the Haram, operate strict no refund policies during peak Umrah seasons, including Ramadan and school holiday periods.

Where a hotel does offer a refund or credit, we will pass this on to you in full.

Ground transportation, guided services, and ziyarat tours included in your package are generally non refundable once arranged.

6. If Umrahbookings Cancels Your Booking

In the rare event that Umrahbookings cancels your booking, due to circumstances within our control, you are entitled to:

A full refund of all payments made, including the deposit, or
A transfer to an alternative package of equal or greater value, with any difference refunded or charged accordingly.

We will notify you as soon as possible in writing if we are ever required to cancel a confirmed booking and will work with you to find the best resolution.

7. Force Majeure: Situations Beyond Our Control

Certain situations are beyond the control of Umrahbookings, or anyone else. These include:

Natural disasters, earthquakes, or severe weather.
Pandemics, epidemics, or public health emergencies.
Political instability, civil unrest, or government travel bans.
Acts of terrorism.
Saudi government restrictions on Umrah entry.
Airline strikes or air traffic control disruptions.

In these circumstances, Umrahbookings cannot guarantee a full refund, as we are subject to the same restrictions from our suppliers, including airlines, hotels, and visa authorities. However, we will:

Do everything possible to recover costs on your behalf.
Offer alternative travel dates where possible.
Be transparent about what is and is not recoverable.
Never profit from a force majeure situation.

If your package includes flights and is affected by airline insolvency, your ATOL protection applies separately to this policy. We strongly recommend travel insurance that explicitly includes force majeure or cancel for any reason cover if this is a concern for you.

8. Travel Insurance: Our Strong Recommendation

We cannot say this enough. Please buy travel insurance before you travel.

A good travel insurance policy covers:

Trip cancellation for covered reasons, such as illness, bereavement, or job loss.
Medical emergencies abroad, including in Saudi Arabia.
Emergency evacuation.
Lost or delayed baggage.
Flight delays and missed connections.

The cost of travel insurance is modest compared to the potential losses from an uncovered cancellation. Many of the situations our customers find themselves in, a sudden illness, a family bereavement, a visa complication, would have been fully covered by a comprehensive policy.

Umrahbookings does not sell travel insurance, but we encourage you to compare policies and choose one that suits your needs before your balance is due.

9. How to Request a Refund

To request a refund, please follow these steps.

Step 1: Contact us in writing. Send us a message through the enquiry form with the subject line “Cancellation Request, your full name, departure date”. Include your booking reference if you have one.

Step 2: We confirm your cancellation. We will acknowledge your request within 2 business days and confirm the applicable refund amount based on the cancellation date and any costs already incurred.

Step 3: Refund is processed. Once the refund amount is agreed, we will process it within 14 business days. Refunds are returned to the original payment method used at the time of booking.

10. Disputes

If you disagree with our assessment of your refund, please let us know in writing within 14 days of receiving our response. We are reasonable people and are always willing to look at situations on a case by case basis. We would rather resolve things fairly between us than escalate unnecessarily.

If a dispute cannot be resolved directly, and your booking included flights, you may also be entitled to raise the matter through the ATOL scheme via the Civil Aviation Authority.

11. Changes to This Policy

We may update this Refund Policy from time to time. The latest version will always be available on this page, with the effective date clearly shown at the top.
